I'd like to convey the key points of having a good telephone exchange.電話応対において一番大切なポイントは、 「 自分は会社の代表である」 という心構えです。
When dealing with phone calls, the most important point is to have the frame of mind that "I am my company's representative."電話をかける時も、 受ける時も、 この点をしっかり意識して応対するようにしましょう。
Whether making a call, or receiving a call, let's be sure to be well aware of this point.まず一つ目は、 お客様を待たせないということです。
The first thing is not to keep the customer waitingそのためには、 必ずスリーコール以内に電話に出るようにしましょう。
For that reason, let's be sure to definitely answer within three rings of the phone.もし、 取れなかった場合には、 「 お待たせいたしました」 という一言を忘れずに。
If you can't pick up in that time, don't forget to say "Thank you for waiting."正確さも、 お客様にとっては大切なポイントです。
Being accurate is also an important point for the customer.必ず復唱し、 メモを取るようにしましょう。
Be sure to repeat things back, and take a memo.通話直後の言葉も聞き漏らさないように、
In order to not miss hearing even words immediately after picking up,受話器を取ってから、 通話ボタンを押す。

For example, not in this way: "Mr. Tanaka, right?" but, "Mr. Tanaka...right?"お客様の名前の後に、 少し間合いを空けます。
You put a little pause after the customer's name.そうすることで、 あなたがお客様を大切に思っているという気持ちが伝わります。
